Replacement Submission:
A Replacement is required when a file is rejected at the technical level. This usually occurs due to:
- Invalid XML formatting or structural "Schema" errors
- Using an outdated version of the XML schema.
- Communication or transmission errors that corrupted the file.
The Benefit of Filing a "Replacement"
If you are required to file a Replacement, ez1095 software will ask you to enter your original Receipt ID.
You should always do this because it links your new, corrected file to your very first submission attempt. By proving that you originally attempted to file on time, you can often avoid penalties, even if your corrected file is submitted after the deadline!
Resubmission:
A Resubmission is required when a file is rejected due to data-level errors. This usually occurs when the file structure is correct, but the content is invalid, such as:
- An incorrect Employer Identification Number (EIN).
- Significant inaccuracies in the reported data that cause the entire transmission to be rejected.
